Kelowna City FC - Reporting Inappropriate Conduct by Coaches/Staff/Volunteers
The following policy is in place to provide a framework for reporting Inappropriate conduct by Coaches/Staff/Volunteers within the Kelowna City FC program. This policy applies to players reporting inappropriate conduct, as well as fellow coaches and/or parents. The steps outlined below would apply to all persons who wish to report inappropriate conduct, except where indicated.
For the purposes of this document, any representative of Kelowna City FC, be they a coach, staff member or volunteer, will be referred to as ‘Staff’. Kelowna City FC may be referenced as ‘KCFC’ for the purposes of this document.
Actionable Steps
- A player/parent/coach discloses information or information is discovered indicating that a Staff member may have acted inappropriately
- Staff member who receives the report notifies the club General Manager (gm@kelownacityfc.com).
- Club General Manager informs the Club President
- Consultation between General Manager and President to decide if concern is warranted and if further steps shall be pursued
- If complaint is merited as warranted, a meeting will be held either in person or online (as availability allows) between the Staff member and club General Manager or President to discuss the allegation, without disclosing the source. Staff member has a chance to respond to the allegation.
- If the General Manager/President determines that the nature of the conduct is NOT sufficiently serious to merit formal action, KCFC may choose to clarify with the staff member the expectations of the club in regards to behavior
- If the General Manager/President determines that the nature of conduct is sufficiently serious to warrant action, an internal follow-up takes place.
- KCFC conducts an internal follow up to determine outcomes
- Inappropriate Conduct is not substantiated: No further action necessary, but KCFC shall review and remind staff members of codes of conduct
- Inappropriate conduct IS substantiated: Next steps depend on the severity of the conduct, nature of the conduct and any previous history of misconduct. Varying disciplinary outcomes will be discussed and applied
- If the nature of the conduct is deemed serious enough, concerns may be reported to law enforcement and child protection organizations
- If review of conduct is deemed inconclusive, outside consultation may be pursued, including, but not limited to, legal counsel, governing body consultation, law enforcement consultation
- Discuss findings and outcomes, without disclosing confidential information, with the complainant.
- After all allegations, regardless of findings, supervise and monitor staff consistent with internal policies.
